Purpose of the Job

The Administrative Assistant in the Systems Department plays a critical role in maintaining clear channels of communication for the Systems team, both inside the organization and with its international counterparts and external stakeholders.

The Administrative Assistant works very closely with the Systems Department Director to keep the team on track and able to achieve its daily objectives, including everything from coordinating schedules and facilitating meetings to invoice-processing and drafting official communications for the department.

Essential Functions and Responsibilities

General Department Support (50%)

  • Ensures routine activities for the department happen on time and completely.
  • Ensures all department meetings are effectively coordinated, planned, facilitated and documented.
  • Performs a variety of clerical accounting duties, including invoice and expense report processing.
  • Acts as a focal point for team members who are working off-site who need help connecting to team meetings and engaging in distributed collaboration.
  • Organizes travel arrangements for team members.
  • Processes calls and email requests from the public and routes them accordingly within the department.
  • Provides general support to the Help Desk, Iteration Manager and Business Analyst(s) as requested.

Project Administration (25%)

  • Provides general support to project managers to coordinate all aspects of successful project execution.
  • Documents outcomes from project meetings and workshops in accordance with the project plan(s).
  • Manages communication with vendors and prospective vendors under guidance of project managers
  • Drafts official communications for the project(s).

 

Support to the Systems Department Director (25%)

  • Maintains the Systems Department Director's calendar and supports prompt response and processing of high-level departmental electronic communication.
  • Maintains clear communication among the Department Director, systems leadership and project teams in MSF offices overseas.
  • Acts as proxy for the department director when s/he is off-site, maintaining a clear communication link among team members at all times.
  • Prepares draft presentation decks for the department, office staff and external audiences under the direction of the Director
  • Ensures all organization and external-facing communication from the department has been made in accordance with department style guidelines and is ultimately approved by the Director

Supervisory Responsibilities

The Administrative Assistant may be called on from time to time to supervise temporary staff and interns. This position does not supervise any full-time permanent positions.

Fiscal Responsibility

This position requires extreme attention to detail while processing departmental invoices and expense reports. The Administrative Assistant ensures that reports generated by MSF financial systems are accurate and in line with System Department budgets and spending.

Extent of Public Contact

The Administrative Assistant is in daily contact with many external stakeholders of MSF-USA, interacting with vendors, consultants, and members of the general public to process requests promptly and effectively.

Field HR Recruitment Events Assistant

Department:              Field Human Resources

I.                   Purpose of the Job:

The Field HR Recruitment Events Assistant is responsible for the development and implementation of key administrative components of MSF-USA’s Field Human Resources recruitment outreach strategies. He/she will perform administrative functions to support the Field HR Recruitment Coordinator, with a particular emphasis on preparing the team’s recruitment events, including information sessions, targeted talks and national and regional conferences.

 

II.                Essential Functions and Responsibilities:

Recruitment Outreach Administration (80%)

Act as primary administrator in the Field HR department for all recruitment outreach activities, including information sessions, targeted talks, recruitment webinars, social media strategy, national conferences, university events, other recruitment-driven events, and distribution of recruitment materials. 

Work directly with the Field HR Recruitment Coordinator to create and implement outreach plans and to identify target profiles for MSF recruitment. Research ways to reach these target groups, and devise and implement recruitment activities. 

Maintain contact databases of recruitment events and outreach contacts and manage tools necessary to perform production of recruitment webinars and meetings (e.g. GoToWebinars, GoToMeetings).

Arrange logistics and promotion related to MSF presence at all outreach events by contacting and sending email blasts, preparing and shipping materials, liaising with vendors for venues, booths, a/v equipment, refreshments and so on.

Manage upkeep of recruitment pages of MSF-USA website, including writing and updating content (on profile pages, FAQs, etc.), providing input on design and flow of recruitment pages/application process, and compile regular analytics reports on key performance indicators for the recruitment team.

Create and manage social media (Facebook, Twitter, LinkedIn, Instagram, etc.) postings and placement for recruitment purposes in coordination with MSF-USA Social Media Manager.

Coordinate travel arrangements and accommodations for Field HR recruiter’s outreach trips.

Evaluate and confer with Recruitment Coordinator to review achievements and discuss required changes in goals or objectives related to effectiveness of FHR outreach efforts.

Cross-departmental collaboration (20%)

Work with Communications team by supporting placement of advertisements for recruitment purposes, helping to develop social media strategy for recruitment and retention purposes, and supporting day to day of social media campaigns.

Attend regularly scheduled staff meetings and Program Updates and several annual office-wide debates to participate in information sharing across all departments, and stay informed on important MSF topics so as to be able to contribute to the organization’s ongoing development.

Participate in cross-departmental teams and committees as needed, specifically to represent the needs of the Field HR department.

 

III.             Supervisory Responsibilities:

 

Does not supervise staff, but may coordinate activities with office interns and/or volunteers on an as needed basis.

As assigned by the Field HR Recruitment Coordinator, oversees the work of external consultants and acts as primary administrative contact with vendors.

IV.             Fiscal Responsibility

Make arrangements within agreed-upon guidelines, using own MSF credit card. Code and submit venue bookings, research materials, shipping costs, travel and hotel request forms including information about re-billing to operational sections.

V.                Extent of Public Contact

Regularly represent MSF to recruitment event partners (schools, event venues, conference coordinators, outreach contacts, former MSF employees) and travel vendors.  Within MSF-USA, interact with all levels of staff, Board, and returned volunteers to stay abreast of MSF issues and to facilitate aid workers’ participation in recruitment and public events.

VI.             Physical Demands

The New York Office of MSF is seeking a part-time Office Services Assistant/Receptionist to work at the front desk and operate a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel. S/he will also support all other Office Services functions as required.

Project Coordinator “MSF on the Road”

 

The Project Coordinator, “MSF On the Road” role is a “mobility” position for MSF fieldworkers who are between missions. It is a great way to stay fully involved within the movement during those times, as well as an amazing opportunity to directly share your experiences in the field with MSF supporters.

Type: Temporary Full-time Non-Exempt for 4 months

I.                   Purpose of the Job:

Under guidance from the Development Department, plan and execute a 4 week speaking tour, “On the Road: A Voice from the Field,” consisting of 8-10 donor presentation and receptions. In addition, coordinate with other departments to maximize the impact of this tour in terms of publicity and donor relations.

II.                Essential Functions and Responsibilities:

Project Coordination of “MSF on the Road: A Voice from the Field” 

·         Defines deliverables for different stakeholders to meet the project goals (e.g. donor invitation schedule, communications strategy, media outreach for interviews in local outlets and for advertisement purposes, social media strategy if applicable etc.)

·         Define, together with Marketing and Event team, the locations to prioritize and groups them together to a meaningful tour.

·         Design a communication strategy to all relevant audiences

·         Identifies locations on the tour that might serve other purposes than donor cultivation (e.g. recruitment etc.) and collaborate with relevant departments (e.g. Field HR).

·         Researches venues in the locations that are defined as part of the MSF On the Road Tour (8-10)

·         Reaches out to location stakeholders to secure locations and to associative members to fulfill specific roles in each tour location

·         Plans the entire tour logistically (incl. flights, car rentals, catering if applicable) and organizes the potential support at key locations from headquarter staff

·         Defines and prepares all material that will be distributed on the tour

·         Executes the tour independently and regularly communicates tour status (e.g. event turnout, donor and communications requests, etc.) with NYC office following events.

·         Creates a final documentation about the entire project management of the tour

·         Works with Marketing and Events to develop a budget for the tour, and keep costs for the tour within that budget.

·         Works with the Finance Department to report on and track project expenses.

Purpose of the Job

The Solutions Engineer within the MSFW team provides general expertise in analyzing and solving a wide range of technical problems faced by the organization. The SE must move flexibly and fluently between project-based (planned) work and unpredictable, operational support to the team's Technical Leader.

The SharePoint Solutions Engineer will take responsibility for providing technical support for the SharePoint environment including assessment and implementation of new capabilities, and providing the leadership of the Systems Department and MSF with a long-term perspective on how to use SharePoint most effectively.

Under the guidance of the Technical Lead, the Solutions Engineer will support project planning with MSF's Microsoft implementation partner and its other strategic partners.

Intranet Administration (50%)

  • Design and maintain all access control to the SharePoint site and any other platforms deployed in collaboration and document management
  • Enhance the structure, user interface, and accessibility to improve document sharing and collaboration across the organization for the demonstrable benefit of the end-user
  • Maintain and enhance the components, look, and feel of the parent site and sub-sites

General Support to Technical Leader (50%)

Purpose of the Job

The Systems Development Project Manager ensures successful planning, initiation, execution and completion of projects within the MSFW program. Articulates value proposition of project to all stakeholders and ensures success by all appropriate means.

The Project Manager represents the MSFW initiative to the stakeholders, end-users, and management for all aspects of project management and performance requirements, including finance, architecture, technology, systems development, IT services, service management and project schedules for this enterprise-level project.

The W1 project within the MSFW program aims to deliver integrated, secure solutions within the domains of constituent relationship management (CRM), grants management and accounting. Though no phase of the W1 project is scheduled to last more than six months, we anticipate the entire project will last three years and are looking for a project management expert to guide the project through its entire lifecycle.

Essential Functions and Responsibilities

Project Management (100%)

  • Build teams to address the project goals and objectives for multiple and/or enterprise level projects
  • Collaborate with stakeholders and end-users from requirements gathering through product acceptance.

  • Provide key stakeholders with regular project performance status, variances to plan, and identification of corrective actions (if required).

Supervisory Responsibilities

  • Project managers within the MSFW team may directly supervise full-time project staff who are committed resources for the PM's projects.

Fiscal Responsibility

  • The project manager is accountable for the transparent and meticulously documented project-related budget and operational expense activities.
  • Project manager provides routine and ad hoc budget vs. actuals reports to management and stakeholders before, during and after each phase of project execution.

Extent of Public Contact

The Project Manager will have frequent contact with people outside the organization, including vendors, consultants, volunteers, donor advisory boards and members of the general public.

Qualifications

  • Bachelor’s degree in a technical discipline or equivalent
  • Proven working experience in project management in the information technology sector
  • Solid technical background with understanding and/or hands-on experience in software development and web technologies
  • Experience with CRM, grants management and accounting system implementation
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multi-tasking skills
  • Strong working knowledge of Microsoft Office

Strongly Preferred

  • Active certification as a Project Management Professional ® (PMP)
  • Familiarity with non-profit fundraising technologies and principles

“On the Road” Presenter and Donor Liaison

 

The Presenter and Donor Liaison, “MSF On the Road” role is a “mobility” position for MSF fieldworkers who are between missions. It is a great way to stay fully involved within the movement during those times, as well as an amazing opportunity to directly share your experiences in the field with MSF supporters.

Department: Development

Type: Temporary Full-time Exempt for 10 weeks

I.                   Purpose of the Job:

Under the direction of the Development Department and with essential guidance and support from the Events Team within the Communications Department, develop a dynamic presentation for donors and execute a speaking tour, “MSF On the Road: A Voice from the Field,” consisting of 8-10 events.

II.                Essential Functions and Responsibilities:

·         In consultation with the Development and Communications Departments, prepare a 40-minute speech about MSF and personal field experiences around a specific topic

·         Create a dynamic presentation (PowerPoint, etc.) to visually engage with the audience

·         Rehearse talk as part of the Brown Bag Lunch series (BBL) in the office and incorporate feedback from the development and communications teams.

·         Briefing/reading on current MSF topics and fundraising details in preparation for an open Q&A forum with donors following presentation of talk.  During speaking tour keep abreast of current MSF press releases etc. in anticipation of possible questions from donors.   

·         Be the face of the event series, corresponding with donors via email, phone and in person

·         Participate in other publicity as needed to promote the tour, i.e. radio interviews, video ads, etc.

·         Host the events and receptions on the tour.

·         Collaborate with Project Coordinator with event setup, supply sourcing, RSVP tracking, et al as deemed needed while “On the Road.”

·         Track and report on tour related expenses. 

III.             Supervisory Responsibilities: n/a

IV.             Fiscal Responsibility: Responsibilities include tracking expenses, aligning with project expense budgets and making sure they are adhered to.

V.                Extent of Public Contact: This position has extensive contact and collaboration with external stakeholder, mainly donors and vendors.

VI.             Physical Demands: While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within the context of a moderately noisy office. Heavy traveling involved.

VII.          Working Conditions, Travel and Environment: Travel by plane and car to tour venue locations, and driving around identified cities to gather materials is to be expected. Willingness to work from the road for 5-6 weeks of the contract, staying at hotels.

·         Ideally 5 years+ MSF field experience with 10+ missions

·         Strong speaking out capacity and easiness to connect with stakeholders, mainly donors and other external stakeholders

·         Ideally a proven track of public speaking

·         Capacity to motivate and engage internal stakeholders to give necessary support

·         Event production experience

·         Willingness to return to the field following the “MSF on the Road” tour.
