Field HR Recruitment Assistant

  1. Purpose of the Job:

Performs administrative functions to support the full recruitment and training process, with a particular emphasis on the application and interview phases. Supports and backs up the administration for the rest of the Field HR Department.

  1. Essential Functions and Responsibilities:

Administrative Support for Field Recruitment Activities (70%)

  • Manages the end-to-end process for field worker applications within established time frames
  • Acts as the main point of contact for all public inquiries regarding the recruitment, application, and selection process
  • Manages application databases, including necessary data-entry and working with vendor to implement changes to application forms and processes
  • Distributes the applications to the respective Human Resource Officer (HRO) for review, and updates the database records based on the HRO response
  • Suggests and implements improvements to application process

  • Organizes all administrative aspects of Information Days (the 3-day welcome program for field workers), including but not limited to sending invitations, arranging travel accommodations, ordering food, preparing rooms, distributing per diem, processing expense reports, sending acceptance packages, and filing employment documents
  • Manages travel arrangements and accommodations for HRO’s recruitment trips
  • Provides input on design and flow of recruitment pages/application process
  • Updates website when requested
  • Ensures capture of clean, reportable data at time of application
  • Assists ROAM with outreach research, venue logistics, and conference registrations as needed

Departmental Support (25%)

  • Provides support for Field Management Training (FMT) Officer that includes maintaining and updating training materials
  • Responsible for filing and maintaining employment records for field workers
  • Enter field worker data into the French database as assigned
  • Processes credit card report for the Director of Field Human Resources
  • Processes miscellaneous invoices
  • Records and distributes weekly department meeting minutes
  • Attends weekly and monthly staff meetings, program department updates, and several annual office-wide debates to participate in information sharing across all departments, and stay informed on important MSF topics so as to be able to contribute to the organization’s ongoing development

Coverage for Administrative Team (5%)

  • Cross-trains with other members of the Field HR administrative team to be able to support administrative functions related to fieldworker departures during absences
  • Makes transportation arrangements, organizes document authentication procedures, procures visas, manages database, and liaises with fieldworkers and operational center counterparts when covering for the FHR Associate or Assistant
  1. Supervisory Responsibilities:

Special Projects Coordinator-Refugee Camp Exhibit

Position Title:             Special Projects Coordinator-Refugee Camp Exhibit

Duration of Project:               September 2015 – December 2016

  1. Purpose of the Job:

Under the direction of the Public and Internal Events Manager, collaborates in the development of and is responsible for implementation of key components of MSF-USA’s Refugee Camp Exhibition by performing the following duties:

  1. Essential Functions and Responsibilities:

To provide administrative; planning; and logistical support to the implementation of the Refugee Camp Exhibit, including related public events designed to bear witness to MSF field activities and advocacy efforts, and to support fundraising and recruitment efforts.

Content Production Support (40%)

Creates production schedules (in Base Camp, or tools using project management tools) and then working with various Communications and other MSF-USA staff and external consultants to insure the schedules are met;

Works with design team, and construction vendors to complete buildout of exhibit in time for use in fall 2016.

Works as part of editorial project teams—in some cases leading them—to develop, create, package, and maintain editorial, online media, social media, and multimedia content to support the exhibit and other special projects, all in accordance with MSF-USA program, editorial, and ethical guidelines.

 

Events Administration, Planning & Management Support (40%)

Assists Public and Internal Events Manager and Communications Director in all administrative tasks related to the Refugee Camp Exhibit and other special projects including but not limited to travel planning and expenses reporting;

Arranges logistics related to preparing and shipping materials, arranging travel and accommodation for MSF staff, liaising with vendors for venues, booths, a/v equipment, catering, permits, insurance, security, emergency medical services and other requirements as needed;

Work with the Public and Internal Events Manager, Communications Director, and other members of the department to identify appropriate staff needs for events related to the exhibit and other special projects, including hiring of volunteers, interns, and temporary staff;

Acts as key liaison with local authorities (police, Parks Department personnel, etc) as well as vendors (guards, portable toilets, on-site medics etc) to ensure smooth functioning of events related to Special Projects;

Supervises core team to design and execute or build exhibition materials and modules or stations for the exhibit and potentially for other special projects.

Supervises core logistical team and additional staff/volunteers when necessary, to install, maintain, and dismount events related to Special Projects according to schedule;

Administrative & Management  (20%)

Tracks production expenses in a timely manner to ensure that budgets are met.

Tracks and organizes invoices, maintains records of payments to different vendors.

Advises on budgeting matters as it pertains to vendors, changing prices in the marketplace, etc.

Makes travel arrangements and books accommodations for assigned returning field staff.

Hires, manages and evaluates temporary staff, including returned field staff, employed to implement Special Projects

Hires, manages and evaluates office volunteers, work-study students and/or interns for administrative tasks within the Special Projects area.

Delegates tasks, primarily to volunteers and interns, to achieve goals.  Provides ongoing feedback to the Public and Internal Events Manager and Communications Director to ensure appropriate human and financial resources are allocated to successfully execute the Refugee Camp Exhibit and other special projects, including alerting the Director or other managers in the department to gaps in adequate resources;

Sets clear attainable objectives for staff, evaluates employee job performance accordingly, in accordance with established MSF procedures, and collaborates with staff to establish appropriate development paths.

Attends regularly scheduled departmental meetings to share information, brainstorm solutions, and coordinate priorities.

Development Assistant

  1. Purpose of the Job:

The Development Assistant will join a dynamic fundraising team responsible for raising $265 million for a leading humanitarian aid organization.  Under the leadership of the Director of Development and in collaboration with the members of the Development Management Team (DevMT), the Assistant provides administrative support to the Director of the Department and the entire Development Department.

Director of Development support

 

  • Schedules travels related to meetings and conferences for the Director of Development and other members of the Development team as requested.

Department-wide support

 

  • Provides general administrative and clerical support to all members of the department as determined and prioritized by Director of Development.
  • Manages the state registration process for MSF-USA.
  • Manages meetings (DevMT meeting, flash meeting, departmental meeting etc.) on request with the following tasks: scheduling meetings, organizing meeting rooms, drafting agenda, drafting minutes, reserving conference phone lines when requested, arranging tables/chairs and setting up the computer for all meetings, ordering and setting up food if appropriate.
  • Maintains department filing system.  Works with office services to manage offsite storage of documentation. Keeps development department areas well-organized and stocked with donor communications and office supplies materials.
  • Coordinate content development for quarterly newsletter.
  • Coordinate the follow-up of decisions taken by the DevMT, helping to ensure maximum information flow and coordination among units.
  • Represents the development team on intra-office committees such as admin committee, travel committee, internal communication committee, holiday party committee etc.

ERP Project Manager

Position background

MSF USA is embarking on a wide project of design, development and integration of Fundraising / Development, Finance, Communications, HR, and other systems and processes in its NY office.

The primary goal of this investment in technical support infrastructure is to build an enterprise-level resource management system where all business applications are integrated and operate in automated fashion without relying on periodic and manual data updates. 

The ERP project is in its very early stages and entering in the project preparation phase.

Purpose of the Role:

Reporting to the Director of IT, the ERP Project Manager is responsible for ensuring the successful design of all key business processes, the delivery of the high level documentation of the processes and infrastructure components (current & target states) and the Gap Analysis. S/he will be also responsible to compile all requirements and prepare a draft Request for Proposal (RFP) to be used to identify prospective vendors for integrated business application development and implementation.

S/he will liaise with business process owners, key users and subject matter experts (internal and external) and will prepare and present project progress reports to the ERP Steering Committee.

The Program Manager will have overall responsibility for the achievement of the deliverables within the timeframe and budget and within established quality-levels, according to the project objectives.

Key Tasks and Accountabilities:

  • Ensure that program deliverables and outcomes are executed on time, on budget, and on quality.
  • Create and document the taxonomy of the key business processes used to support the business goals.
  • Ensure that Current State (CS) process flows are documented and process flow diagrams are designed and / or updated, including ad hoc processes and areas of unmet needs.
  • Design the Target State Process Flow Diagrams (TS). This documentation will capture the relative priorities of the business processes and their alignment with Organization’s goals. The project manager will ensure the rationale and best practices behind the future business processes and its coherence and alignment to the needs and strategies of the Organization.
  • Design a Functional Architecture diagram and technical Component Diagrams, documenting the technical functions required to support the business processes. The Project Manager will also design a Data Model.
  • Identify a set of business performance measures that can used to gauge the relative performance of the most critical processes, including baseline data for the current state.
  • Deliver a comprehensive set of Business Requirements for ERP Steering Committee review and approval .The requirements must be specified to a level of detail that the solutions provider can reasonably estimate the software and effort required to successfully implement the project.
  • Derive a Gap Analysis that specifies the needed changes to realize the benefits of the target state in a useful and orderly manner. Define the business value proposition of the target state systems and technology.
  • Prepare a draft RFP for ERP Steering Committee approval.
  • Define the project quality principles and support the ERP Steering Committee in the definition of the project KPIs.
  • Liaise and coordinate with other concurrent projects in MSF (within the MSF USA office and with other relevant projects in the Movement), when relevant for the project scope and needs.
  • Ensure full transparency, according to the project governance and MSF USA project management standards.
  • Collaborate with internal and external stakeholders to achieve the desired outcomes.
  • Manage overall communication and reporting plan with stakeholders and end users including information gathering workshops; designing form the very beginning change management activities in each business area and manage the expectations of the stakeholders.
  • Facilitate executive decision making by the ERP Steering Committee by: Progress reporting, Issue management, risk management, and reporting process for the project.

Supervisory Responsibilities

  • Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws. Qualifications

We are looking for an enthusiastic candidate who has solid experience in leading and managing complex ERP projects. A successful candidate will have at least 2 years’ experience as a program or project manager of which leading and managing a team is an important part. They will be required to have a good understanding and experience of systems transformation and process integration.

The candidate will have strong communication and stakeholder management skills as well as a service-oriented attitude. The candidate should have extensive experience in defining risks for project failure, identifying ways to mitigate risk, and a solid working knowledge of Agile and other iterative software development methods.

Planned Giving Officer

Purpose of the job:

 

Under the direction of the Director of Major Gifts, the Planned Giving Officer is responsible for managing a Planned Giving program that includes bequests, charitable remainder trusts, charitable lead trusts, charitable gift annuities, and other planned giving vehicles. This includes the responsibility for expanding the planned giving marketing program with the goal of securing long-term deferred commitments. This position also requires. a significant number of personal visits and extensive communication by phone, letter and other methods to build a relationship that motivates the donor to support MSF.

 

Essential Functions and Responsibilities

 

Planned Giving Donor Cultivation: 

 

Cultivates and solicits new deferred and life income gifts through face-to-face visits, calls, emails, and other communications with individuals and their professional advisors.

 

Stewards existing members of the Legacy Society to confirm and increase their commitment to MSF USA.

 

Cultivates attorneys, trust officers, accountants, financial planners, and other estate planning professions regarding opportunities for their clients and provides information and materials for their use and distribution.

 

Conducts follow up from donor meetings on a timely basis ensuring that information received is entered into the database, donor debrief record and discussed with key team members. 

 

Manages Planned Giving events including, but not limited to, donor recognition lunches; Planned Giving info sessions, and other related activities. 

 

Collaborates with the Manager of Prospect Research in identifying candidates for Charitable Trusts

 

Coordinates Planned Giving cultivation strategies with Major Gifts and attends donor meetings at their request and vice versa.

 

Ensures that the Planned Giving webpage is accurate and engaging, and creates new content, as needed.

 

 

Marketing and Management:  

 

Responsible for crafting the overall Planned Giving strategy with the support of the Marketing department and organizes regular follow-up check-ins with Marketing

 

Responsible for designing and implementing an annual broad-based, pro-active marketing plan in order to expand the Planned Giving program. Monitors results on a quarterly schedule.

 

In collaboration with senior staff, creates and implements cultivation and solicitation methods, including personal solicitation (telephone or face-to-face; by Board, Executive or other), targeted mailings, invitations to MSF events and/or donor parties and other valid marketing tools.

 

Coordinates with Major Gifts and Planned Giving Associate in creating annual marketing strategy calendar and coordinates with Marketing in designing and scheduling all Planned Giving direct marketing activities.

 

Drafts proposals and correspondence, and prepares strategy, briefing, and debriefing materials; contributes to strategy and creative ideas; records and tracks current actions and next steps in database.

 

Manages mailings to planned giving donors, including the requesting of data from Operations and Marketing.

 

Works with Program and Communications staff to research content and develop positioning for Planned Giving marketing materials, correspondence and reports that serve to raise funds while educating donors about the field and advocacy work of MSF.

 

Provides support and guidance to PG assistant and intern

 

Networks with other organizations to provide benchmarking and sharing of best practices.  Remains current with trends in the philanthropic world.

Builds knowledge of media and publications activities in order to leverage them for Planned Giving.

Extent of Public Contact

 

Interacts with high-level contacts including Board of Directors, Board of Advisors, and donors. Answers caller questions about MSF, especially as they pertain to Planned Giving and donor events.  Attends donor events (house parties, speaker events, et. al) as necessary to support the Major Gift team, and to represent MSF.

 

Physical Demands

 

While performing the duties of this job, the employee is required to sit for long periods and to concentrate on work, including typing, and turn out heavy volumes of work accurately, within the context of a moderately noisy office with many interruptions.  Must be able to proofread own work accurately so that only minor corrections are needed on an infrequent basis.

The Web & UX Designer will work as a member of the MSF International Web Team, a distributed strategic and technical team responsible for MSF’s Web presence and overseen by senior management at MSF's New York office. Responsibilities:

HANDS-ON WEB AND UX COORDINATION AND DESIGN (70%)

The Web & UX Designer is expected to play a key role in the global creative direction for the organization, with a focus on understanding and creating appropriate experiences for the various international Web audiences we serve. This role requires excellent interpersonal skills, and the ability to articulate creative decisions and manage internal stakeholders globally. The successful candidate will work closely with the Web Project Manager, Developers, and other staff to achieve MSF’s strategic goals on the Web and respond to the needs of its audiences.  Main duties include, but are not limited to:

  • Designing graphics, infographics, Web page layouts, and other elements for MSF Web sites and global digital initiatives

BACKGROUND

MSF currently operates activities in 35 countries with a wide spectrum of programs. The Medical Project Unit in MSF New York is part of the Medical Department of Operational Cell – Paris and provides technical support for: Tropical Medicine, Infectious Diseases, Environmental and Surgical Epidemiology as well as eHealth/Medical Informatics. The eHealth team is being newly organized to provide an effective mechanism for rapid system analysis and development decisions that can efficiently bring to scale cross-MSF integrated health information platforms.  Through this process, the eHealth team aims to strengthen programs, support quality improvement and program evaluation, and improve the care we deliver to our patients, in addition to contributing to “temoignage” and scientific research. 

 

OBJECTIVES OF THE POSITION

Together with the desks and field teams, the Mobile Implementation Officer (MIO) will carry out the field implementation of the Health Information software (‘PRAXIS’ App), determine the project's monitoring and surveillance needs, and customize the installation to meet these.

The MIO will also initiate the change management strategy for PRAXIS in the mission: train the field staff in the use of the software and ensure that an ongoing briefing process is put in place to allow for the use of the software by future field staff. Rarely, the MIO may also be called upon to revisit missions where PRAXIS has been implemented when needed.

 

Accountabilities

 

  • Contribute in the launch and implementation of PRAXIS: prepare field implementation schedule together with desk and coordination/field teams
  • Work with desk, coordination and field teams on preparing the Projects setup as well as on selecting appropriate data for projects Units/Modules
  • Identify field constraints/restrictions for the implementation process and anticipate solutions to mitigate those constraints (e.g.: remote implementation, connectivity/logistic constraints…)
  • Ensure the customization and implementation of PRAXIS, the new field health information software package both at project and coordination level.

 

  • Provide direct technical assistance and support to the teams in the field through short-term and medium-term field intervention

 

  • Assess the needs, opportunities and difficulties regarding routine medical data (collection, storage, transmission, analysis) in the medical services.
  • Install system on project specific computers
  • Support and advise field teams on changes/adaptations to be made in the existing data collection system and tools (tally sheets, registers) as needed
  • Provide training and coaching of the persons involved with medical data collection (Data Entry Clerk, Medical Focal point, Midwife , Clinical Officer, Medical Coordinator, etc.)
  • Train clinical staff on data entry and submission process
  • Train data managers on data entry and submission process
  • Train MedCos, HoMs, MedRefs, PCs on approval and review of data

 

In-between missions

  • Assist the desk in updating and adapting the existing tools

  • Postgraduate in Public Health is desirable

The Web Developer will work as a part of the MSF Web Team, an international distributed team responsible for MSF’s Web presence and overseen by management (Director of Communications and Web Project Manager) at MSF's New York office. This position requires regular onsite presence, based in any one of MSF's country offices in North America or Europe, but for the right candidate could transition into a primarily remote position after the initial contract period.

Responsibilities:

DRUPAL DEVELOPMENT AND DRUPAL SITE BUILDING (70%)

Working as a member of the MSF Web Team, the Web Developer is responsible for the maintenance, ongoing growth, expansion of functionality, and support of the MSF Drupal content management system and international country site Web platform, MSF Association multisite Web platform, and a host of other smaller internal and external MSF Web sites.
