Development Associate

The New York office of MSF is seeking a Development Associate to support the Development Director and members of the foundations and corporations teams. The Associate will plan and implement activities supporting our foundation and corporate (F & C) donors which range from making calls and sending letters to creating customized packages based on donor interests, to registering gifts and projecting future giving. A key role of the associate will be liaising with donors to secure face to face meetings for fundraisers, program, and executive staff. The Associate also manages projects for larger-scale mailings by participating in the early planning and data analysis; preparing data, copy editing, and shepherding design approval; and coordinates the production and mailing process. S/he provides general administrative support to the whole development department through inter-department coordination of flash meetings, monthly meetings, annual plan key meetings and ownership of the department calendar.

Responsibilities:

  • Provides general administrative support to all members of the department as determined and prioritized by Development Director.
  • Schedules, books, drafts agenda, and take notes for regularly scheduled departmental meetings including the monthly manger’s meeting and the full team meeting
    • Coordinates the follow-up to decisions taken by the managers, helping to ensure maximum information flow and coordination among units
  • Maintains department filing system including foundation and corporate (F&C) donor and prospect files both electronic and paper, major gift donor profiles, and marketing archives.
  • Participates in Events Team meetings and reports back to the F &C team to share relevant information and make recommendations about which events to participate in.
  • Conduct routine data entry/review/analysis of donor data
  • Processes all grant agreements, F&C gifts, and grant proposals, reports, and renewal letters
  • Processes large mailings (setting up mail merge, merging letters and labels, formatting attachments, printing documents, and assembling packets, copying, and filing.) 
  • Schedules meetings with donors for senior staff, prepare packets, and make travel arrangements
  • Assists Donor Services with donor requests via phone, email, and mail.
  • Performs other administrative tasks and projects as necessary

 Requirements:

  • Minimum 3 years directly relevant work experience, plus Bachelor's degree, or equivalent combination of education and experience.
  • Strong computer literacy, including ability to use word processing and spreadsheet and database software.  Knowledge of PowerPoint preferred.
  • Experience with databases, including merging data, pulling reports and queries.
  • Affinity for and facility with numbers.
  • Project management experience including keen attention to detail with ability to track multiple projects at one time and to prioritize ongoing vs. immediate needs appropriately.
  • Strong interpersonal, oral and written communication skills
  • Excellent judgment and diplomacy.
  • Ability to effectively present information and MSF’s voice to donors.
  • Ability to write a range of correspondence from formal business letters to thank-you notes.
  • Familiarity with fundraising and/or customer service techniques and software tools.
  • Ability to work with a minimum of supervision.
  • Ability to prioritize ongoing vs. immediate needs appropriately.
  • Genuine interest in and commitment to the humanitarian principles of MSF.
  • Working knowledge of fundraising.
  • Prior experience in a non-profit fundraising work, volunteer, or educational environment.

  • Salary - low 50s commensurate with experience.
